The shared workspace allows you to upload or create documents to Microsoft's Shared Workspace site. Once you sign in with an id and password, you are logged into your personal shared web or workspace. You then upload or create the files and identify who has access to those specific files or group of files by adding emails to the "Share" section.
Watch the videos. They are very helpful. On YouTube you can search Shared Workspace and there are videos that will describe the concept. Google has a shared workspace, as well. I like Microsofts much better. Much cleaner, more advanced. They are both Beta's.
By using the shared workspace, you eliminate multiple sending of documents and confusion with revisions, changes, updates, etc. Everyone knows where to go and update or review a document that has been authorized to share.
